HR Assistant for the representative office of Help – Hilfe zur Selbsthilfe in Ukraine

Help is seeking a qualified candidate for the position of Legal Counsel to provide expert legal advice and ensure compliance with national and international laws governing its activities. The Legal Counsel will play a key role in mitigating legal risks, reviewing contracts and ensuring that the organization’s activities are in compliance with relevant laws and regulations.
Key responsibilities:
- Prepare packages of documents for new employees and facilitate their onboarding in the organization.
- Maintain and update employee personal files, ensuring proper attachments, and store and archive personnel documents in accordance with internal policies and Ukrainian legislation.
- Prepare and execute employment contracts, amendments to contracts (such as transfers, contract extensions, and changes in job responsibilities), and manage applications for vacation, sick leave, and other labor-related documentation. – Prepare and manage documents for employee bookings.
- Advise employees on labor relations, internal organizational policies, and employee rights.
- Provide operational support to employees regarding HR issues and guide them on internal procedures and policies.
- Keep records of employee working hours, including vacations, sick leave, and other types of absences, and prepare timesheets.
- Coordinate internal training sessions and seminars for employees.
- Organize and participate in events aimed at enhancing team cohesion, such as corporate events, celebrations, and team training activities.
- Support a positive corporate culture and initiatives to improve team atmosphere.
- Assist in the implementation and monitoring of internal HR procedures and policies.
- Maintain document flow in compliance with the organization’s standards and Ukrainian legislative requirements.
- Prepare reports as requested by management or other departments.
Qualifications and requirements:
- A university degree in Human Resources Management, Law, or a related field.
- A minimum of 2 years of experience as an HR Assistant or HR Inspector.
- Familiarity with Ukrainian labor legislation and fundamental HR procedures.
- Ability to manage HR documents and utilize information systems for personnel records.
- Strong communication and organizational skills.
- Perseverance, meticulousness, and attention to detail.
- Proficiency in Ukrainian and English (knowledge of English is an advantage).
